n8n is the automation tool we would start a technical team on when Zapier's task meter or data-residency story is the actual objection. Node-based workflows, self-host or Cloud, AI nodes that are still nodes. That is the product. It is not a Zapier-but-free for a marketer who will not SSH.

Zapier is still the automation tool we would start a non-technical team on in 2026. Triggers, actions, a catalog that already talks to the SaaS you pay for. The AI layer — Copilot, Agents, AI actions in a zap — is useful when the graph is already honest. It is not a reason to buy Zapier if you needed a chatbot.

Professional commonly starts at $19.99 a month billed annually for 750 tasks ($29.99 month-to-month). Team commonly starts at $69 a month billed annually for 2,000 tasks, with 25 users. Enterprise is a quote. Those rows were checked against zapier.com/pricing on 19 September 2026. A task is a successful step. AI steps can cost more than one task. Confirm the calculator.
n8n still publishes Community (self-host) and Cloud on n8n.io/pricing (checked the same day). Community is free software on GitHub — you pay the box and the on-call. Cloud is priced in euros, by workflow executions (a full run, not each step), with unlimited users and workflows on every Cloud plan. The public annual rows we fetched: Starter €20/mo billed annually (2,500 executions, 2,300 AI credits, one shared project); Pro €50/mo billed annually (25,000 executions, up to 13,700 AI credits, admin roles, workflow history); Business €667/mo billed annually (SSO/SAML/LDAP, git version control, environments); Enterprise is a quote. Annual advertises about 17% off monthly. Cloud data is hosted in Frankfurt. A Cloud trial is Pro-level features with 1,000 executions and no card; Business trial is 14 days. Buy Zapier if the expensive part is that nothing is wired
Zapier earns the default seat when the leak is a form, a ticket, a Slack ping, a row in a sheet — and someone will map the fields this week. The catalog is the product. AI steps, Copilot, and Agents sit on a graph people already understand. That is why it still leads the automation ranking. It is not a reason to buy Zapier if you needed a chatbot, and it is not a reason to leave if three linear zaps already work.
Professional is the honest individual plan. Free is a 100-task teaser with two-step zaps. Team is shared folders, 25 users, SSO — a different buying meeting. Agents are a second product. Skip Zapier if the graph has to live next to the repo. Skip it if every payload is a residency meeting. Skip it if the zap became a machine you will maintain on a canvas. Head-to-head, by job
Form-to-Slack, ticket-to-sheet, the first three zaps
Zapier. Faster to publish. A catalog the marketer already half-owns. n8n can do this and will feel like homework — even on Cloud. If the complaint after a month is 'we never turned it on,' you bought the wrong runtime — not the wrong price.
Self-host, residency, the graph next to the repo
n8n. This is the job most 'we cannot send every payload through a US SaaS' tickets should have named. Community on your box, or Cloud in Frankfurt if the objection was 'a vendor we can still see' rather than 'our VPC.' Zapier Enterprise will talk residency; it is not a self-host product. Stay on Zapier only if nobody will page a workflow at 2 a.m.
Volume, and what a step costs
n8n Cloud bills a full execution, not each node. Zapier bills successful steps (and some AI steps as more than one task). A 20-node workflow that runs 2,000 times is 2,000 n8n executions and a very different Zapier task pile. That is why technical teams quote n8n when the iterator is the program. It is also why a marketer with three two-step zaps should not care. Count the graph you will keep on. If the cheaper logo is the whole argument, you are shopping for a teaser, not a program.
AI inside the graph
A draw on the job, a loss if you buy the logo. Zapier: AI by Zapier on paid plans, Copilot in the editor, Agents as a second bill. n8n: AI nodes, LangChain-style chains, BYOK on self-host so Cloud AI-credit caps do not apply. Neither is an autonomous coworker. Empty prompts still invent last quarter's SKU. Review the first hundred runs. The agents ranking is the version if the pitch said coworker.
Catalog, HTTP, and the long tail
Zapier wins the obscure SaaS connector a marketer will not write. n8n wins the moment you are willing to open HTTP, code, or a custom node. Make sits between them — a visual catalog with more routers than Zapier and less 'bring your own runtime' than n8n. If the complaint is 'Zapier does not have our internal API,' you are already an n8n (or webhook) customer. If the complaint is 'I will not write a request,' you are still on Zapier.
When neither should win
Make if the job is a visual machine and you want a vendor to page — no git religion. Clay if the row is an account. Power Automate if you already live in 365 and that is the whole program. Workato or Tray if you already standardized there. A 40-template Chrome extension you will not open in week four is not a third score.
What neither tool should be
- Your GTM table. That is Clay.
- Your visual power-user canvas with a vendor on-call. That is Make.
- Your coworker. That is the agents ranking, and it is a different trust decision.
- A reason to skip the mapping. A prettier node will not invent a program.
- A free Zapier. Community is free software. The ops are not. Cloud is a euro subscription.
