Is Fireflies worth it in 2026? A buyer decision, not a vibe check
Fireflies is worth it when last quarter has to be searchable and someone will connect the CRM. It is not worth it as a cheaper Otter, a free recorder, or a Gong. Pro is the honest archive seat. Here is the split — and the skip-ifs.

Fireflies.ai
7.8/10Best searchable meeting archive
The searchable meeting archive that will talk to your CRM.
Fireflies is the meeting assistant for teams that will actually search last month. Transcripts, summaries, soundbites, and a CRM write-back. Sales and CS orgs that live in HubSpot recognize it. A founder who needed captions in the room will bounce — that is still Otter. Fireflies alternatives is the buyer-intent version if you are trying not to buy it.
- Best for
- Teams that need to search last quarter's calls and push notes into HubSpot or Salesforce.
- Skip if
- You needed live captions, a bot-free recorder, or Gong-grade coaching.
Why it ranks
- AskFred across the archive is the feature people keep paying for
- CRM and Slack push is a real workflow, not a slide
- Cheaper than Gong when the job is search and recap, not coaching
Watch-outs
- Another bot in the participant list unless you fight it
- Not live captions the way Otter is
- Credit math on 'AI skills' can surprise a team that thought Pro was unlimited everything
Product look
Fireflies.ai
Figure slot. No vendor screenshot until we have a rights-cleared file.
People search 'is Fireflies worth it' after AskFred actually found the pricing objection from March, or after finance asked why a notetaker costs more than a $20 chat tab. Those are different tickets. If you do not name whether you needed last quarter in HubSpot, live captions in the room, or a coaching culture, you will buy Pro as a cheaper Gong and still miss the deal — or stay on Free until the conversation you needed is gone.
This is a buyer decision, not a review recap. On Aiacent, Fireflies scores 7.8 as the searchable meeting archive — second on the transcription ranking on purpose. Otter wins live notes. Fireflies wins the archive. Fireflies pricing is the seat-and-credit math. Fireflies alternatives is the leave-or-stay guide. Fireflies vs Otter is the two-way if both logos are already in the deck. The transcription ranking is the scored table. Read this one if the question is the subscription.
The public ladder we checked
| Plan | Public price (confirm cart) | Who it is for |
|---|---|---|
| Free | $0 — 20 one-time AI credits; limited storage and integrations | A taste of the archive. Storage and integrations are the wall. |
| Pro | $10/user/mo billed annually, or $18/user/mo monthly | The individual / small-team archive-and-CRM seat — 20 included credits |
| Business | $19/user/mo billed annually, or $29/user/mo monthly | API, analytics, video, private channels — the team product; 30 included credits |
| Enterprise | $39/user/mo, annual only | SSO, SCIM, HIPAA, private storage — a security conversation |
- Every admin or member is a billable seat. Sharing a recap link is free. Inviting them to the workspace is not.
- Annual Pro is the $10 figure. Monthly Pro is $18. Do not plan the year on a first-month banner.
- Meeting-bot and Chrome-extension transcription are not monthly-capped the way Otter's free minutes are. API, dialers, and bulk uploads still have rate limits — read the current help article.
- Included AI credits are one-time and shared across the whole team. They do not grow with seats. AskFred on Live Assist, AI Skills, Autofill CRM, Voice Agents, and Magic Soundbites draw from that pool. Transcription and summaries do not.
- When the pool hits zero, paid credit packs start at $5 / 50 credits a month ($4 annual-equivalent) in the billing doc we checked. Auto-Upgrade on credit packs can surprise a team that thought Pro was unlimited everything.
The worth-it test
| If this is true | Fireflies is | Buy instead |
|---|---|---|
| Someone will search last quarter and connect HubSpot or Salesforce on day one | Worth it — that is the product. Pro. | Stay on Pro. Annual if the habit already survived a test recap |
| You are tasting whether another name on the participant list is tolerable | Not worth paying — Free is the taste | Leave Free the week CRM write-back or the conversation you needed is the wall |
| The job is live captions in the room — someone glances while it happens | Not worth it as a captioner | Otter. Fireflies vs Otter is the longer why. |
| The card was the objection and you needed tape plus a recap | Not worth it as the first recorder | Fathom. The free plan still records. |
| The meeting is a deal and coaching is the operating system | Not worth it | Gong. A $19 Business seat will not invent a coaching culture. |
| Several people search the same calls, or the API / video / private channels are named | Pro is not enough; Business might be | Business — only after Pro's archive is already a weekday habit |
| The notes already have to sit on a Notion page next to the spec | Not worth it as the only seat | Notion AI. Transcription ranking. |
Fireflies is worth it when the expensive part is the call you cannot find
The teams who should pay treat Fireflies like a junior archivist: the bot joins, the recap lands on the CRM record, someone asks AskFred what they said about price last quarter and then watches the clip. Worth it means a $10 Pro seat billed yearly is cheaper than another week of folklore in Slack. That is a real bill on a sales or CS desk. It is not a vibe. It is why Fireflies still sits at 7.8 as the searchable meeting archive — not the live-caption pick, not the coaching pick.
If you cannot point at the calls you will actually query this month, you are shopping for a second participant with a prettier recap. Free exists so you can learn that about yourself for $0. The founder take on /tools/fireflies is still the split: Fireflies is what we open when the question is 'what did they say in March.' Otter is what we open when the question is 'what are they saying right now.'
- Best for: sales and CS teams that will search the archive and connect the CRM on day one
- Skip if: you have not used Free's recap, or the leak is live captions / free tape / coaching
- Honest watch-out: 20 included credits are not unlimited AskFred. Autofill CRM and Live Assist will make you do math.
Fireflies is not worth it as a cheaper Otter, Fathom, or Gong
Otter wins live captions in the room. Fathom wins when the card was the fight and you needed unlimited tape. Gong wins a coaching culture on call tape. Buying Pro because Otter felt 'too product' is how you miss the live transcript you booked the meeting for. Buying Business because Fathom felt unserious is how you pay for a bot you already had for free. Fireflies alternatives names those forks. Fireflies vs Otter is the two-way if the other brand is already in the meeting. The transcription ranking is the scored version.
The same no applies if the leak was wiki-native notes (Notion AI), a bot people refuse (Granola, or Fathom's bot-free beta), or a custom bot name as a reason to climb. A nicer participant label will not invent owners on the action-item list.
When Business or Enterprise is the real question
Business is how Fireflies sells the company. Nineteen dollars a seat billed annually, twenty-nine monthly. API access, analytics, private channels, video recording, the team features Free and Pro tease. You are buying a workspace, not a prettier transcript. Buy it when several people have to search the same calls, someone will set private channels, or the API is a real integration — not a slide. Skip it if you have not used Pro's archive. Skip it if the leak is live notes. A better analytics panel will not invent owners.
Enterprise is $39 a seat, annual only, in the billing doc we checked. SSO, SCIM, HIPAA, private storage. That is not a darker Business. Do not open it because Pro ran out of credits — buy a credit pack. Do not skip it if legal already killed a consumer bot and you still have to capture. Volume discounts start in their FAQ around 50 seats; we will not invent the curve.
What 'worth it' is not
- A word-error-rate lab. We did not run 400-call bake-offs or invent a review count.
- A coupon hunt. If there is a live trial deal it lives on /deals. We do not invent codes or partner URLs.
- A reason to treat included credits as unlimited AI skills. Transcription and summaries are the uncapped part.
- Cheaper than Gong if you needed a coaching OS. It is cheaper than another week of folklore you could have searched.
The 30-day tell
After a month, either someone searched a call twice and the recap landed on the record, or they did not. If the workspace is a graveyard of unread emails and an empty HubSpot field, it was not worth it. If AskFred replaced a Slack thread that used to start with 'what did they say,' it was. That is the whole audit. Fireflies pricing tells you which plan that habit belongs on.
Fireflies is worth it when the expensive part is the call you cannot find. It is not worth it when one person wanted live captions, a free recorder, or a coaching OS with an archive badge. Mixing those up is how you pay per seat and generate recaps nobody opens.— Aiacent, 2026
Verdict
Worth it: last quarter has to be searchable and someone will connect the CRM — Pro, annual if that already survived a test recap. Several people, API, video, admin: Business. Legal, SSO, HIPAA: take the Enterprise conversation. Not worth it: tasting the bot and not searching (Free, and do not ship it), live captions in the room (Otter — Fireflies vs Otter), tape on a $0 card (Fathom), coaching a sales floor (Gong), notes that already have to sit in Notion (Notion AI). Then read Fireflies pricing if the fight is the plan picker, Fireflies alternatives if you are trying not to buy the logo, Fireflies vs Otter if both tabs are already open, and the transcription ranking if you want the scores next to Otter, Fathom, and Notion AI.
