Otter.ai pricing (2026): Basic, Pro, Business — and what the minutes actually buy
Pro is about $17 a month or $8.33 billed annually. Business is the unlimited-meeting seat. The expensive mistake is paying for captions when you needed Gong — or staying on Basic until the archive is gone.

- How we rank
Otter.ai
7.9/10Best affordable meeting notes
Meeting notes that sales, product, and CS will actually search.
Otter is the meeting-notes tool we recommend when you are not buying a revenue-intelligence platform. Transcripts, summaries, action items, a searchable archive. Live captions are still the habit other notetakers get compared to. For product and CS, that is often the whole job. Otter alternatives is the buyer-intent version if you are trying not to buy it.
- Best for
- Teams that live in Zoom and cannot pay Gong prices.
- Skip if
- You already standardized on Gong or a dedicated revenue-intelligence stack.
Why it ranks
- Reliable transcripts and summaries at a sane price
- Good enough for product, CS, and light sales coaching
- Live notes people can share into Slack
Watch-outs
- Not Gong — deal intelligence is not the point
- Speaker labels still slip on crowded calls
- Yet another bot in the meeting if you do not set norms

Figure slot. No vendor screenshot until we have a rights-cleared file.
People search 'Otter.ai pricing' because they hit the free-minute wall, or because finance asked why a notetaker costs more than a $20 chat tab. Those are different tickets. If you do not name whether you needed live captions in the room, last quarter in the CRM, or a coaching culture, you will buy Pro as a cheaper Gong and still miss the deal, or stay on Basic until the conversation you needed is gone.
This is a cost page, not a feature dump. Public list prices below were checked against otter.ai/pricing on 19 September 2026. They change, and first-time offers sit next to the list. We do not invent a word-error lab, a credit multiplier, or a partner URL. The full review is /tools/otter. Otter alternatives is the leave-the-bot guide. The transcription ranking is the scored table.
Otter AI cost in 2026, at a glance
| Plan | Public price | Minutes / meetings | What you are actually buying |
|---|---|---|---|
| Basic | $0 | 300 transcription minutes / month; 3 lifetime file imports | A taste of live notes. You will hit the wall. |
| Pro | ~$16.99/user/mo, or ~$8.33/user/mo billed annually | 1,200 in-app recording minutes; 10 file imports / month; up to 90 min / meeting | The individual / small-team caption seat |
| Business | ~$30/user/mo, or ~$19.99/user/mo billed annually (~$240/user/year) | Unlimited meetings + in-app recordings; imports still capped; up to 4 hours / meeting | Shared workspace, admin, custom workflows — the team product |
| Enterprise | Custom quote | Unlimited custom workflows; sales notetaker and SSO live here | A security and sales-ops conversation, not a checkout toggle |
- Annual Pro is the number most 'how much is Otter' pages quote. Monthly Pro is roughly double. Do not plan the year on a first-time $8.49 / $4.17 promo.
- Students and teachers with a .edu address get 20% off Pro (about $13.59 monthly or $79.99/year). That is not a Business discount.
- Imported files and in-app recordings share a pool. Unlimited meetings on Business is not unlimited everything.
- We will not guess an Enterprise sticker. Anyone who publishes a mid-four-figure 'typical' contract invented it.
Buy Pro if you are the person who glances at the live transcript
Pro is the honest self-serve plan. One operator, or a tight pair that can share a workspace without lying to procurement. Live notes, a 90-minute cap, 1,200 in-app minutes, ten imports. That is enough for a founder, a PM, or a CS lead who lives in Zoom and will actually skim the recap.
Pay annually if the habit is already real — you already ran out of Basic and you still want Otter, not Fathom. Pay monthly if you are proving the bot is not a second participant people hate. Skip Pro if the leak is last quarter in HubSpot (Fireflies), unlimited tape on a $0 card (Fathom), notes that already have to sit on a Notion page, or a coaching culture (Gong). Otter alternatives names those forks.
- Best for: product, CS, and small sales teams that needed live notes and cannot pay Gong prices
- Skip if: you needed a CRM archive, a free recorder, wiki-native notes, or deal intelligence
- Honest watch-out: 1,200 minutes is not 'unlimited meetings.' A busy week of customer calls will still make you do math.
Buy Business when a second login, or admin, is the job
Business is how Otter sells the company. Unlimited meeting and in-app recording transcription, four-hour conversations, custom workflows, activity logs, usage analytics, a shared vocabulary. You are buying a workspace, not a prettier caption. The annual seat is about $20. The monthly seat is $30 — or $24 when they are running a first-months promo. Read the checkout, not a 2023 blog.
Buy it when several people have to search the same calls and someone will set the sharing rules. Do not buy it because Pro felt lonely and a sales deck said 'scale.' Mid-market teams often sign Business and then discover they needed Fireflies' CRM write-back, or Gong's coaching OS. A better admin panel will not invent owners on the action-item list.
- Best for: product, CS, or light sales teams that already live in Otter and need a shared archive plus admin
- Skip if: you have not used Pro's recap, or the leak is HubSpot write-back / coaching / free tape
- Honest watch-out: imported-file minutes are still capped. 'Unlimited' on the card is meetings, not every file you dump from Dropbox.
Enterprise is a different meeting
SSO, SCIM, domain capture, HIPAA as an add-on, Otter Sales Notetaker, custom CRM and dialer work. That is not a darker Business. It is a security and sales-ops conversation, often with a 100-user floor on SSO/SCIM in Otter's own grid. Do not open it because Pro ran out of minutes. Do not skip it if legal already killed a consumer bot and you still have to capture.
Otter cost versus the seats people actually mean
Versus Fathom (generous free recorder; Premium around $16/user billed annually): Fathom wins when the card was the objection and you needed tape plus a recap. Otter wins live captions in the room. Buying Otter Pro because Fathom felt unserious is how you pay for a bot you already had for free.
Versus Fireflies (Pro around $10/user billed annually): Fireflies is cheaper on paper and wins the archive-and-CRM job. Otter wins live notes. They overlap on 'a bot joined the call.' They do not overlap on the habit that has to stick. The transcription ranking is the scored version.
Versus Gong: there is no honest sticker comparison. Gong is a sales operating system. Otter is notes. Stretching Business into coaching theater is how this page exists.
What we are not pricing
- A word-error-rate lab. We did not run 400-call bake-offs or invent a review count.
- Otter Sales Notetaker as a self-serve SKU. It lives on Enterprise in the grid we checked.
- A fake Impact or PartnerStack URL. Until a real partner link is set, the CTA goes to otter.ai.
- First-time 50% banners as the list price. They expire. The $16.99 / $8.33 and $30 / $19.99 rows are the plan.
Most 'what does Otter cost' tickets are a Pro ticket, a Business ticket, or a Fathom free-plan ticket. The pricing page is doing too much work if you have not named the meeting job.— Aiacent pricing, 2026
Verdict
One person who glances at the live transcript: Pro, annual if the habit is already real. Several people, a shared archive, admin: Business. Legal, SSO, or a sales notetaker: take the Enterprise conversation. The card was the fight and you needed tape: do not buy Otter — Fathom is the seat. Last quarter in HubSpot: Fireflies. Coaching a sales floor: Gong. Then read Otter alternatives if you are trying not to buy it, and the transcription ranking if you want the scores next to Fireflies, Fathom, and Notion AI.
