Fireflies vs Otter (2026): archive vs live captions — which job?
Fireflies wins last quarter in the CRM. Otter wins live captions in the room. They are not interchangeable, and the cheaper $10 Pro seat is usually the wrong reason to choose.

Fireflies.ai
7.8/10Best searchable meeting archive
The searchable meeting archive that will talk to your CRM.
Fireflies is the meeting assistant for teams that will actually search last month. Transcripts, summaries, soundbites, and a CRM write-back. Sales and CS orgs that live in HubSpot recognize it. A founder who needed captions in the room will bounce — that is still Otter. Fireflies alternatives is the buyer-intent version if you are trying not to buy it.
- Best for
- Teams that need to search last quarter's calls and push notes into HubSpot or Salesforce.
- Skip if
- You needed live captions, a bot-free recorder, or Gong-grade coaching.
Why it ranks
- AskFred across the archive is the feature people keep paying for
- CRM and Slack push is a real workflow, not a slide
- Cheaper than Gong when the job is search and recap, not coaching
Watch-outs
- Another bot in the participant list unless you fight it
- Not live captions the way Otter is
- Credit math on 'AI skills' can surprise a team that thought Pro was unlimited everything

Otter.ai
7.9/10Best affordable meeting notes
Meeting notes that sales, product, and CS will actually search.
Otter is the meeting-notes tool we recommend when you are not buying a revenue-intelligence platform. Transcripts, summaries, action items, a searchable archive. Live captions are still the habit other notetakers get compared to. For product and CS, that is often the whole job. Otter alternatives is the buyer-intent version if you are trying not to buy it.
- Best for
- Teams that live in Zoom and cannot pay Gong prices.
- Skip if
- You already standardized on Gong or a dedicated revenue-intelligence stack.
Why it ranks
- Reliable transcripts and summaries at a sane price
- Good enough for product, CS, and light sales coaching
- Live notes people can share into Slack
Watch-outs
- Not Gong — deal intelligence is not the point
- Speaker labels still slip on crowded calls
- Yet another bot in the meeting if you do not set norms

Both products will put a bot on the participant list. That is where the overlap ends, and it is why 'Fireflies vs Otter' is a bad 2026 question if you have not named the habit. A sales or CS team that will search last quarter and write HubSpot back, and a product lead who glances at live captions in the room, are different seats. Mixing them up is how you pay Fireflies Pro for captions nobody reads — or buy Otter Business and still cannot find the pricing objection from March.
This page is the two-way, winner by job. Fireflies pricing and Otter pricing are the plan math. Otter alternatives is the leave-Otter guide. Fireflies alternatives is the sibling. The transcription ranking is the scored table — Otter 7.9 for live notes, Fireflies 7.8 for the archive. Read this one if both logos are already in the deck.
The public bills, in one place
Fireflies Pro is $10 a user a month billed annually, or $18 month-to-month. Business is $19 / $29. Enterprise is $39 a user, annual only, in the billing docs we checked. Free is a taste — limited storage, 20 one-time AI credits. Fireflies' marketing pricing page is a feature grid; the seat stickers we stand behind are the ones already checked against Fireflies' billing knowledge base (guide.fireflies.ai) on 19 September 2026. They change. Confirm checkout. Included credits are one-time and shared. AskFred on Live Assist, Autofill CRM, and similar skills draw from that pool. Transcription and summaries do not.
Otter Pro is about $16.99 a user a month, or about $8.33 billed annually. Business is about $30 month-to-month, or about $19.99 billed annually. Basic is $0 with 300 monthly transcription minutes. Enterprise is a quote — SSO / SCIM commonly sit behind a 100-user floor on Otter's own grid. Those rows were checked against otter.ai/pricing on 19 September 2026. First-time banners sit next to the list ($8.49 / $4.17 on Pro, $24 on monthly Business the day we looked). They are not the plan. Confirm both carts.
| If this is the meeting job | Buy | Skip |
|---|---|---|
| Live captions in the room — someone glances at the transcript while it happens | Otter (Pro if one login; Business if a shared archive and admin) | Fireflies as a cheaper captioner |
| Last quarter in HubSpot or Salesforce — search, write-back, AskFred on the archive | Fireflies (Pro to prove; Business when API, video, or admin is real) | Otter as a cheaper CRM archive |
| The card was the objection and you needed tape plus a recap | Neither — Fathom. Generous free recorder. | Either logo as a $10–$17 bot you already had for free |
| A coaching culture on call tape — deal intelligence, a sales OS | Neither — Gong. Gong pricing. | Either Business row as a cheaper coaching platform |
| Notes that already have to sit on a wiki page next to the spec | Neither — Notion AI | A second bot whose recap you will paste by hand |
| Legal killed a consumer bot and you still have to capture | The Enterprise conversation on the logo you already chose — or stay out | A self-serve Pro as an enterprise platform |
Buy Fireflies if the expensive part is last quarter
Fireflies earns the seat when several people will search the same calls and the recap has to land on the CRM record. AskFred across the archive is the feature people keep paying for. HubSpot and Salesforce write-back start on Pro. That is why it scores 7.8 as the archive pick, not the live-notes pick. Worth the sticker means the $10 annual seat is cheaper than another week of 'what did they say about price in March' that lives in someone's head.
Pro is the honest self-serve plan. Business is API, analytics, video, private channels — a workspace, not a prettier transcript. Skip Fireflies if the leak is live captions in the room. Skip it if the card was the fight (Fathom). Skip it if coaching is the job (Gong). Fireflies alternatives names those forks. Fireflies pricing is the credit-and-seat bill — included credits are one-time and shared; adding seats does not add credits.
- Best for: sales and CS teams that will search the archive and connect the CRM on day one
- Skip if: you needed live captions, a free recorder, wiki-native notes, or deal intelligence
- Honest watch-out: 20 included credits are not 'unlimited AskFred.' Autofill CRM and Live Assist will make you do math.
Buy Otter if the expensive part is the live transcript
Otter earns the seat when someone actually glances at the captions while the meeting is happening — product, CS, a founder in back-to-backs. Live notes, a 90-minute cap on Pro, 1,200 in-app minutes, ten imports. That is why it scores 7.9 as the affordable meeting-notes pick. Worth the sticker means the ~$8.33 annual Pro seat is cheaper than another week of 'I'll write it up after' that never happens.
Pro is one operator or a tight pair. Business is unlimited meetings, four-hour conversations, custom workflows, admin — a shared archive, not a prettier caption. Skip Otter if the leak is last quarter in HubSpot. Skip it if the card was the fight. Skip it if coaching is the job. Otter alternatives is the leave-the-bot guide. Otter pricing is the minute bill — 1,200 minutes is not 'unlimited meetings,' and Business 'unlimited' is meetings, not every file you dump from Dropbox.
- Best for: product, CS, and small sales teams that needed live notes and cannot pay Gong prices
- Skip if: you needed a CRM archive, a free recorder, wiki-native notes, or deal intelligence
- Honest watch-out: a $100 annual Pro seat that captions meetings nobody opens is more expensive than Fathom's free recorder.
Head-to-head, by job
Live captions while the meeting is happening
Otter. That is still the habit other notetakers get compared to. Fireflies can join the call and will still feel like the wrong shape of tool if the painful part is reading along. If nobody looks at the transcript until Thursday, you are not an Otter buyer — you are shopping for an archive, and that is Fireflies or Fathom.
Search last quarter, write the CRM back
Fireflies. AskFred plus HubSpot / Salesforce write-back is the product, not a slide. Otter's paid rows advertise Salesforce and HubSpot integrations; they do not turn Otter into an archive-first desk. If the complaint is 'we cannot find the pricing objection from March,' you are not an Otter buyer.
Price, honestly
Fireflies Pro at $10 annual can look cheaper than Otter Pro at about $8.33–$16.99. It is not a savings story if you needed captions. Otter annual Pro can look cheaper than Fireflies monthly Pro at $18. It is not a savings story if you needed the CRM. Plus is a chat tab. Gong is a sales OS. Buying Fireflies to 'save' on Otter if the job was live notes is how you stay disappointed. Buying Otter to save on an archive is how you fund unused captions. Count searches or glances you will actually do — not the homepage numeral.
Sales floors and a second login
Fireflies Business if several people have to search the same calls and the API or video is real. Otter Business if several people have to share a live-notes archive and someone will set the sharing rules. Do not buy either Business row because a deck said 'conversation intelligence.' That meeting is Gong, and Gong pricing is a different buying conversation. The sales ranking is the scored desk if the leak is the deal, not the note.
What neither tool should be
- Your coaching OS. That is Gong.
- Your free recorder when the card was the objection. That is Fathom.
- Your wiki. That is Notion AI.
- A reason to skip the human who owns the action item. A prettier recap will not invent an owner.
- A word-error-rate trophy. We did not run 400-call bake-offs or invent a review count.
Fireflies is what we open when the question is 'what did they say in March.' Otter is what we open when the question is 'what are they saying right now.' Mixing them up is how you buy a bot and still cannot find the note.— Aiacent comparison, 2026
Verdict
Live captions in the room, a recap someone actually skims: Otter — Pro if you are the only login, Business if a shared archive and admin are the job. Last quarter in HubSpot, AskFred on the archive: Fireflies — Pro monthly to prove the bot is tolerable, annual if the habit is already real, Business when API, video, or admin is named. The card was the fight: neither; Fathom is the seat. Coaching a sales floor: Gong. Then read Fireflies pricing and Otter pricing if the fight is the plan picker, Otter alternatives if you are trying not to buy Otter, Fireflies alternatives if the other logo is the argument, and the transcription ranking if you want the scores next to Fathom and Notion AI.
